“Attack on Titan” Contest - Privacy Policy (GeekOut / DEVLOX)

This Privacy Policy (hereinafter referred to as the “Policy”) outlines the procedures adopted by DEVLOX K.K. and GeekOut K.K. (hereinafter referred to as “we” or the “Company”) for handling information, including personal information, of applicants (hereinafter referred to as “you” or the “Applicant”) utilizing “Attack on Titan Game Creation Contest on Roblox” (hereinafter referred to as the “Contest”).
 
1. Collection of Applicant Information and Methods
In this Policy, “Applicant Information” denotes any information related to identification, communication service activity, and other information generated or stored in connection with Users or their devices, which is gathered by the Company in accordance with this Policy.
The collection method determines the Applicant Information collected by the Company through this Contest, and includes the following:
(1) Information provided by the Applicant: Information submitted by the Applicant for Contest through the Contest, including:
  • Name, gender, date of birth
  • Email address, telephone number, address (including country of residence)
  • Educational background (including the name, the year of admission, and the year of (planned) graduation of the school and the like from which the Applicant graduated)
  • Employment history (including past and present employers, dates of employment, department, position, title, work description, portfolio, and the like.)
  • Qualifications, licenses, skills, and foreign language proficiency results (including scores and the like on TOEIC, IELTS, and other foreign language proficiency tests)
  • Still image information including Applicant’s portrait photo (profile picture)
  • Any other information entered or transmitted by the Applicant through methods determined by the Company
(2) Information collected during your use of the Contest
We may collect information about how you access and use the Contest. This may include the following information:
  • HTTP referer
  • IP address
  • Information regarding Server access logs
  • Cookies, ADIDs, IDFAs, and other identifiers
(3) Information that we collect with Applicant’s individual consent during Contest use.
 
2. Purpose of Information Use
The specific purposes for utilizing Applicant Information related to Contest provision are as follows:
(1) Identity confirmation of the Applicant
(2) Contest provision
(3) Contacting Users and responding to Applicant inquiries
(4) Addressing violations of our terms of use, the Policy, guidelines, and the like (hereinafter referred to as “Terms and Conditions.”) regarding this Contest
(5) Conducting or announcing campaigns, events, surveys, and the like, and to provide information about our services other than this Contest
(6) Notifying Users of changes and the like to the Terms and Conditions and the like of this Contest
(7) caring out sales activities in services provided separately
 
3. Request for Discontinuation of Use
Users may request discontinuation of the collection or use of all or part of Applicant Information by adjusting prescribed settings of the Contest, and in such case, the Company will promptly stop the collection and use of all or part of such information in accordance with the Company’s policies. Since the collection or use of specific items of Applicant Information is essential for Contest use, the Company will stop collecting or using such items only upon Contest termination following procedures prescribed by the Company.
 
4. Provision to Third Parties
We will not provide personal information within Applicant Information to any third party (including parties located outside of Japan) without prior Applicant consent unless any of the following situations requiring disclosure arise:
(1) When we outsource all or part of the handling of personal information within the scope necessary to achieve the purpose of use
(2) When we disclose information in the course of merging or other executing a business succession plan with another company
(3) When we are required to cooperate with a national government agency, a local government agency, or another entity entrusted by such government agencies with the responsibility to execute affairs prescribed by laws and regulations in a situation in which obtaining the consent of the Applicant may impede the execution of such affairs
(4) When permitted by the Act on the Protection of Personal Information of Japan (hereinafter referred to as the “Personal Information Protection Act”) or by other laws and regulations.
 
5. Joint Use
In order to achieve the purposes of use being stipulated in this Policy or notifying Users individually, we may jointly use the Applicant’s personal information we obtain through the Contest with our affiliated companies.
In such event, the items of personal information to be jointly used will be the information described above in Section 1 “Collection of Applicant Information and Methods.” The purpose of use by the parties with whom such personal information is jointly used will be the purposes described above in Section 2 “Purpose of Information Use.” The entity in charge of managing such personal information is the Company; the Company will responsibly manage the Applicant Information and ensure that it is handled in accordance with this Policy.
 
6. Security Control Measures
We will take necessary and appropriate measures to prevent leakage, loss, or damage of personal information that we handle and to otherwise safely manage personal information. For more information on the security control measures taken by the Company, please contact us as specified in Section 9 “Contact Information” of this Policy.
 
7. Disclosure of Personal Information
Upon a Applicant’s request in accordance with the provisions of the Personal Information Protection Act, we will confirm that the request is made by the Applicant himself/herself and disclose the information to the Applicant without delay (if the requested personal information does not exist, we will notify the Applicant to that effect). However, this does not apply to cases in which we are not obligated to disclose the information under the Personal Information Protection Act or other laws and regulations. Please note that a fee (1,000 yen) will be charged per request for disclosure of personal information.
 
8. Correction and Suspension of Use of Personal Information
8-1 When a Applicant requests in accordance with the provisions of the Personal Information Protection Act that (1) we correct the content of his/her personal information because the personal information is untrue, or (2) we suspend the use of his/her personal information because it has been handled beyond the scope of the purposes previously publicly announced or has been collected through deception or other wrongful means, then we will conduct the necessary investigation without delay after confirming that the request is made by the Applicant himself/herself. Based on the results of the investigation, we will correct the content of the personal information or suspend its use, and report to the Applicant accordingly. If we decide not to correct or suspend the use of the personal information at issue, we will notify the Applicant accordingly.
8-2 If a Applicant requests deletion of the Applicant’s personal information, and if we deem it necessary to comply with the request, then we will delete the personal information after confirming that the request is made by the Applicant himself/herself, and notify the Applicant accordingly.
8-3 The provisions of Sections 8-1 and 8-2 do not apply to cases in which we are not obligated under the Personal Information Protection Act or other laws and regulations to make corrections or suspend the use of personal information.

10. Procedures for Changing the Privacy Policy
The Company reserves the right to modify this Policy as needed. In the event that the Company modifies this Policy in a manner that legally requires the consent of the Applicant, the modified Policy shall apply only to those Users who have agreed to the modification in the manner prescribed by the Company. In the event of any modification of this Policy, we will notify Users or publicize the effective date and content of the modified Policy on our website or through other suitable means.
 
11. Original Version
The Japanese version of the Policy is the original and the English version of the Policy is for reference only; in the event of any inconsistency or conflict between the two, the Japanese version shall prevail.
